This privacy policy narrates how Knot (us, we, our) uses and collects personal data. Our privacy policy governs your visit to https://meetknot.com/ and elaborates on how exactly we safeguard and disclose personal information.

Knot acts as a controller that manages how you interact through different channels, which is used for a variety of purposes. 

When our customers use our products and services to collect and process personal data for their sales, marketing, and other business activities, Knot acts as a processor. Under the Knot Data Processing Agreement that is part of the Customer Terms of Service, we act as a processor (or service provider) for our customers, who are the ones who control their own personal data. 

Terminologies

1. Personal Data: Personal Data refers to the data of our clients.
2. Usage Data: Data that is generated automatically by our service infrastructure. 
3. COOKIES: Files that are stored on your device.
4. Data Controller: It refers to the person who determines how personal data is managed and processed.

Collection & Usage of Data

Knot operates in multiple roles depending on how data is used:

(i) As a Data Controller

We act as a controller when:

• You create an account
• Use our website or platform
• You interact with our support, marketing, or events
  
  

In this role, we determine how and why your Personal Data is processed.

(ii) As a Data Processor

We act as a processor when our customers use Knot to:

• Schedule meetings
• Collect invitee information
• Manage communications
  
  

In this case, we process data strictly on behalf of our customers, who remain the data controllers.

When the platform is used for organizing meetings, we collect meeting details, basic details of the meeting like duration and no of attendees, and history related to booking.

Our service infrastructure automatically stores significant information such as IP address, device type, log files, pages visited, and actions taken. Moreover, we also leverage cookies to maintain track of activities and analyze platform usage.

How We Use Google’s OAuth User Data 

Knot sends emails on your behalf through your Gmail account.

Data We Access:

• Your email address (for account identification and email delivery)
• Email addresses of meeting invitees and participants
• Meeting-related content (titles, times, participants, meeting links, location information)
  
  

How We Use Gmail:

• Sharing meeting invitations to calendar invitees
• Sending meeting confirmation emails when events are scheduled
• Making meeting reminders and notifications for participants
• Notifying scheduling updates when meetings are modified or canceled
• Sharing calendar-related administrative notifications
  
  

We do not store copies of sent emails beyond what is necessary for service delivery and compliance purposes, nor do we access the existing mail of clients or even use the mail content beyond service delivery purposes.

Knot can view and manage your Google Calendar, including creating, editing, viewing, and permanently deleting events.

Data We Access:

• Calendar availability (busy/free time slots)
• Data of calendar(calendar name, timezone, location settings)
• Primary email address associated with the calendar
• Calendar event summaries and basic event information
• Event participants and their availability status
• Schedule meetings on Google Meet based on calendar availability
  
  

How We Use it

• Suggesting optimal meeting times based on your availability
• Syncing calendar information to prevent double-bookings
• Displaying your availability when you're scheduling meetings
• Retrieving calendar settings (timezone, working hours) to ensure accurate scheduling
  
  

We do not access personal calendar notes, read full events, or access data that is beyond what is necessary for our service mentioned above.

By availing our services, it means you are granting Knot permission to view and edit calendar events.

Data We Access & Modify:

• Calendar event titles and descriptions
• Event times, dates, and duration
• Event location and meeting link information
• Participant email addresses and attendance status
• Event reminders and notifications
• Deleting calendar events when meetings are canceled
  
  

We do not modify events created outside of Knot or anything for marketing purposes.

Conferencing and Scheduling

1. Conference

Knot enables users to facilitate and schedule their meetings seamlessly through Google Meet and Zoom. Knot does not keep or control any video, audio, or chat data that is created during meetings on Google Meet or Zoom.
 

Google's own privacy policies and terms govern how this kind of data is handled.

When users leverage this integration, they are in charge of reviewing and managing the permissions that have been given to their Google account.

2. Scheduling

Knot facilitates reminders and scheduling with Google Calendar, Google Meet, and Zoom.

When you connect your calendar:

• Knot fetches the access to your availability (busy/free slots) to prevent scheduling conflicts
• We may create, modify, or delete calendar events on your behalf based on your actions
• Event details such as title, time, participants, and meeting links may be synchronized
  
  

Knot only accesses the minimum necessary calendar data required to provide scheduling functionality and does not use calendar data for unrelated purposes.

Payment

Our payment gateway is handled by Stripe; from billing contact details to metadata, everything is handled by Stripe. They may collect your billing invoice and other information based on their privacy policy.

It is suggested to refer to Stripe's privacy policy for more detailed information; we shall not be held liable for any privacy breach from our third-party payment gateway.

Data Transfer & Management

Knot restricts access to and shares Google user data only with the following parties, each for specific, limited purposes.

Data collected by us is extensively shared to:

• AWS Infrastructure: For secure hosting, storage, and management of your data, encrypted calendar, event, and email metadata is shared. 
• Email Service Provider (SMTP): Email addresses, meeting details, and participant information are shared for sending user-initiated meeting invitations, confirmations, reminders, and scheduling notifications.
• Google API: Using Google user data only for purposes explicitly disclosed in this Privacy Policy. This helps to synchronize Gmail, Google Meet, and Google Calendar.
• Microsoft Graph API: To make Knot compliant when users are connected with a Microsoft account.
• Government Authorities: We only share the data in case of a legal authority request, disclosing only what is required by the law.   
• Data Storage & Security

We have strongly emphasized the importance of data security on our platform. However, it is important to understand the fact that there is no such 100% secure electronic data storage to protect your personal data.

We use appropriate safeguards, including:

• Encryption in transit and at rest
• Secure data centers

Knot accesses the following Google user data through OAuth integrations: - Google Calendar:

• Calendar availability (busy/free slots)
• Event titles 
• Times
• Participant information
• Meeting links
• Event descriptions (Google Meet): Meeting links and basic meeting information for scheduling purposes 
• Gmail: Email addresses and user basic profile information (name, email address) for authentication and communication purposes.
• Google Account: Primary email address and basic profile data for account authentication and identification.
  
  

We access only the minimum necessary data required to provide scheduling, meeting coordination, and communication services.

Knot's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy.

• We commit to using Google user data only for purposes explicitly disclosed in this Privacy Policy 
• Knot does not transfer data to third parties except as necessary to provide the service or as required by law 
• Implementing appropriate security measures to protect user data 
• Complying with all applicable data protection regulations. This commitment is binding on all Knot personnel and service providers who access user data.

Data Management in the Case of Solvency

If another company acquires us (or our assets), whether through a merger, acquisition, bankruptcy, or some other means, that company will get all the information that Knot has gathered on the websites and the Subscription Service.

 If this happens, you will be told by email and/or a prominent notice on our website about any changes in ownership, how your Personal Data is used, and the choices you have about your Personal Data.
